PTO Pro respects your privacy and is committed to protecting the information you provide when using our website and services. By using the Service, you agree to the collection and use of information in accordance with this Privacy Policy.

1Information We Collect

We collect several types of information to operate and improve the Service.

Account Information

  • Name and email address
  • Organization name and role within the organization
  • Login credentials

Organization Information

  • PTO or booster club name and school name
  • Organization details and officer or board member information

Member Information

Organizations may upload or manage contact information for members, such as names, email addresses, phone numbers, volunteer participation, and membership status.

Financial Information

Organizations may store financial records such as budgets, transactions, fundraising totals, and donation records. PTO Pro does not store credit card numbers directly unless processed by third-party payment processors.

Documents and Media

Organizations may upload meeting minutes, bylaws, financial reports, event materials, and images or documents.

2Student Information

PTO Pro is not intended to collect or store sensitive student educational records. Organizations should avoid uploading grades, academic records, disciplinary records, or student IDs.

If student names appear in event participation lists or communications, organizations are responsible for ensuring compliance with applicable school policies and laws. PTO Pro does not knowingly collect personal data directly from children under 13.

3Automatically Collected Information

When users access the Service, we may automatically collect IP address, browser type, device information, pages visited, usage data, and timestamps. This information helps us improve reliability, performance, and security.

4Cookies and Tracking Technologies

We may use cookies or similar technologies to maintain login sessions, remember user preferences, understand platform usage, and improve performance. Users may disable cookies through their browser settings, but some features may not function properly.

5How We Use Information

We use collected information to:

  • Operate and maintain the PTO Pro platform
  • Manage user accounts and enable organization management features
  • Process communications sent through the platform
  • Send service-related notifications
  • Improve the Service and monitor system security
  • Comply with legal obligations

We do not sell personal data to third parties.

6Email Communications

Organizations using PTO Pro may send emails to members through the platform. PTO Pro processes these communications on behalf of the organization. The organization sending the communication is responsible for obtaining permission to contact recipients and complying with email regulations such as CAN-SPAM.

PTO Pro may also send users service-related emails including account notifications, product updates, and security alerts.

7Third-Party Service Providers

We may use trusted third-party providers to operate the Service, including services for cloud hosting, email delivery, file storage, analytics, and payment processing. These providers may have access to limited information necessary to perform their services but are not permitted to use it for other purposes.

8Data Storage and Security

We implement reasonable security measures designed to protect stored information, including encrypted data transmission (HTTPS), secure cloud infrastructure, access controls, and monitoring and logging. However, no method of transmission over the internet is completely secure.

Organizations should maintain copies of critical financial or organizational records outside the Service.

9Data Retention

We retain information for as long as necessary to provide the Service, maintain organizational records, comply with legal obligations, and resolve disputes. Organizations may request deletion of their data when terminating their account, subject to legal or operational requirements.

10Your Rights and Choices

Depending on your location, you may have rights to:

  • Access your personal information
  • Correct inaccurate information
  • Request deletion of your information
  • Restrict certain processing activities

11Data for Organizations

PTO Pro acts primarily as a service provider to organizations such as PTOs and booster clubs. Organizations control the data they upload and manage within the platform. Members should contact their organization directly for questions about how their data is used.

12Children's Privacy

The Service is not intended for direct use by children under the age of 13. We do not knowingly collect personal information from children without parental consent. If we learn that personal information of a child under 13 has been collected, we will take steps to delete the information.

13Changes to This Policy

We may update this Privacy Policy from time to time. When changes occur, we will update the Last Updated date at the top of this policy. Continued use of the Service after updates indicates acceptance of the revised policy.
